Steps in the Withdrawal Process
- Begin a conversation with the student in-person, via zoom or phone.
- Confirm that the student is certain about their decision to withdraw.
- If it is within the first two weeks of the semester, follow the steps below to ensure that students are enrolled in the least number of hours possible.
- Student initiates the withdrawal on MyUI by going to current registration screen and clicking the link for “Withdraw entire registration.”
- MyUI walks the student through a series of screens that lets them know which permissions they need.
- MyUI prompts the student to answer the survey questions (the 12 question survey is in your Withdrawal folder for reference). This could be done in zoom, but if in person, allow the student some privacy as they answer the questions – maybe turn your focus to something else or leave the room for a few minutes.
- In MAUI, you go to the “Registration Change Authorizations” screen to authorize the withdrawal.
- Student then returns to MyUI to complete the withdrawal.
- Send the student (via email) the Withdrawal Resources handout.
The Withdrawal Resources handout can guide the appointment in letting the student know the various things can be affected as a result of the withdrawal. Some items will be relevant to the student but some will not. Point out the information on the tuition appeal process (under Financial Resources heading) and encourage students to seek more information, but refrain from commenting on the likelihood that a tuition appeal will be granted.
Student Athletes
- Student Athletes need authorization from Athletic Student Services in addition to our authorization. It does not matter which one they get first.
International Students:
- International students need authorization from ISSS in addition to our authorization. See the Withdrawal Quick Reference for International Students.
Non-Degree Students:
- Non-Degree students complete the withdrawal process online but no authorization is required.
- They are asked to complete the survey.
Tuition Responsibility & Housing
First week - students held to 10% of tuition
- In the first 5 days of the semester, students should drop all classes except the one with the lowest number of credits, before starting the withdrawal process. Please note, the last remaining course must be a current course (not an off-cycle course that starts in the future). Success at Iowa can be the last course on the schedule prior to the withdrawal, but it cannot be reduced to 0 s.h. If you have questions, please contact the Registrar Service Center first at 384-4300. If no one is available, you can call Cherrie Baird (384-4038) or Rose Amelon (384-4037) for back-up in cases where there is no answer at the Service Center line.
- If the student initiated the withdrawal prior to seeing you, they will need to cancel their request for withdrawal prior to being able to drop classes.
Second week – students held to 25% of tuition
- During the second 5 days of the semester, students should drop all classes except the one with the lowest number of credits, before starting the withdrawal process.
After day 10, tuition can no longer be adjusted downward. We should tell students what they are responsible for:
- Week 3 – 50% of tuition responsibility
- Week 4 – 75% of tuition responsibility
- Week 5 – 100% of tuition responsibility
Students living on campus:
Each day, Housing runs a list of students who are no longer enrolled and they send them an email with instructions for leaving the halls (copy of this email on the shared drive). If a student is in your office and would like to leave campus that day, have them go to 4141 Burge to complete a contract cancelation form and get move-out instructions/questions answered on the spot.
